Dashboard, reports and activity

What each dashboard card counts, where the reports are, and what the activity feed records.

What each figure on the dashboard counts, where the reports are, and what the activity feed records.

Dashboard#

The dashboard summarises the period you choose.

Choose the period at the top: Last 7 days, Last 30 days (the default) or Last 90 days. Each money card compares its figure with the previous period of the same length.

CardWhat it counts
Total InvoicedInvoices issued in the period.
OutstandingWhat can still be collected on those invoices: their totals minus payments and write-offs.
Paid This MonthPayments recorded on those invoices, from the payment records. A write-off is never counted as paid.
OverdueThe balance still owed on overdue invoices.
Quotations Awaiting ResponseQuotations sent or viewed that the customer has not yet answered.

Invoice figures count numbered invoices only, and leave out void and cancelled ones.

The money cards and the trend chart are in your organization's base currency and count invoices in that currency only. If you have invoices in other currencies in the period, the dashboard names them and links to Reports, where each currency has its own figures.

Below the cards:

  • Invoice Trend charts invoiced amounts day by day, with its own period menu.
  • Upcoming Due Invoices lists up to 15 unpaid invoices by due date. Each shows the days left: red at five days or fewer, amber at ten or fewer, and Overdue once the date has passed.
  • Recent Documents shows the eight newest documents. Filters narrows it to one document type.
  • Recent Activity shows the latest eight events.
  • Get started appears until your organization has finished its first steps; see Set up your organization.

Reports#

Reports shows, for any period and each currency: what you invoiced, what you were paid, what you wrote off and what is still collectible. It counts issued invoices only, and leaves out drafts and void and cancelled invoices.

Behind those figures are six reports: Sales by customer, Sales by item, Sales by salesperson, Invoices, Payments received and Bad debt. Each can be filtered by date, compared with another period, arranged column by column, saved as a view and exported to Excel, CSV or PDF.

Two all-time summaries sit below the reports:

SummaryWhat it shows
Quotation conversionHow your quotations turned out, and how many became invoices.
Tax billedThe tax charged on your issued invoices, by tax and currency.

Activity and notifications#

Activity lists what has happened in your organization, newest first, 25 entries per page: documents issued, sent, duplicated and discarded, payments recorded, updated and removed, documents signed by customers, signatures invalidated by edits, deliveries completed, status changes and role changes. Each entry names who did it. Select an entry to open its document, except for discarded documents, which no longer exist.

The bell in the top bar shows the six latest entries and a count of what is new since you last looked, up to 9+. View all activity opens the full list.
