Connect AI assistants

Use Claude, ChatGPT, Cursor or any MCP app with Bookmaker: connect it, choose what it may do, and disconnect it.

Connect Claude, ChatGPT, Cursor, VS Code or any other AI assistant that supports the Model Context Protocol (MCP) to Bookmaker, and ask it to find documents, draft invoices, set up recurring invoices and reminders, prepare agreements for signature or record payments in plain language. The assistant works as you: it sees what you see and can do only what your role allows.

Connect an assistant#

  1. Open your account menu (your name, top right) and choose Connect AI assistant. You can also open Settings › Connected apps, or search the command palette for "connect".
  2. Choose your AI app to see its steps, then Copy the server address or the ready-made command, and add it in your AI app.
  3. Your AI app opens Bookmaker. Sign in if you're asked to.
  4. Check who is asking, choose the workspace and what the app may do, and choose Allow access.
Connect AI assistant is in your account menu on every page.
Each AI app's steps, with the exact command or configuration to copy.

The address is the same for everyone in your workspace and is not a password: an app can only use it after you sign in and allow access.

Check before you allow#

The app's name is whatever the app says it is. Returns you to is where it really goes.
  • Returns you to is the website or app the connection will be handed to, such as claude.ai. If it isn't the app you are connecting, choose Cancel.
  • Workspace: each connection works in one organization. To use the assistant in another, connect it again and choose that one.
  • Permissions: reading your workspace is always included. Untick anything the assistant shouldn't do; you can connect again later to change your choice. Permissions your role doesn't have are shown greyed out.

You're returned to your AI app, now connected. It stays connected while you use it; if you don't use it for 30 days, it asks you to sign in again.

What you can ask#

Ask in your own words. A few examples:

AskWhat happens
"Which invoices are overdue, and who owes the most?"The assistant lists overdue invoices by customer, with links to each one
"Draft a quotation for Ada Okafor: 3 office chairs at 45,000 each"A draft quotation appears in Documents, priced and totalled by Bookmaker
"Bola Stores paid 250,000 for INV-3198 today"After you confirm, the payment is recorded and the invoice's balance updates
"Prepare an NDA with Bola Stores, signed by Bola Ade at [email protected]"A draft signature request appears under Sign, ready for you to review
"Design a teal invoice template with a banded header"A new template appears in Templates (owners and admins)
"Invoice Kemi Foods 150,000 on the 1st of every month, as a draft for me to check"A recurring invoice appears under Scheduled › Recurring
"Email INV-3198 to the customer on Monday at 9am"The send is scheduled; nothing goes out until then
"Remind customers 3 days before and 7 days after the due date"After you confirm, your payment reminder schedule changes
"Give me a month-end summary for September"Invoiced, received, outstanding and overdue totals, and the largest open balances

Every answer includes a link that opens the record in Bookmaker.

What an assistant can do#

An assistant can do only what you allowed when you connected it, and never more than your role permits:

PermissionWhat the assistant can do
Read your workspaceLook up documents, customers, products, payments, templates, signature requests, scheduled work, recurring invoices, reminder settings, your dashboard totals and the invoices due soonest
Create and send documentsDraft any document type, issue a draft so it gets its number, email a document now or schedule it for later, set up and manage recurring invoices, send or pause an invoice's reminders, and prepare, send, remind or void documents for signature
Add customersCreate customer records, and turn reminders on or off for a customer
Add productsCreate products and services
Record paymentsRecord money received against an invoice
Manage workspace settingsDesign document templates, choose which one each document type starts from, and change the payment reminder schedule, for everyone in the workspace (owners and admins)

Documents and signature requests are always created as drafts. The assistant is told to ask you before it issues a document, emails a customer, sends something for signature or records a payment, and most AI apps also ask you to approve each action before it runs.

Everything an assistant changes is recorded in your activity log under your name, exactly as if you had done it yourself.

Send agreements for signature#

Ask the assistant to write an agreement, an NDA, an offer letter or a consent form and have it signed. Give it the other party's signer and their email, and the terms that matter.

The assistant writes the text and Bookmaker prepares a draft signature request: it prints the document with a signature block for each party and puts each signer's signature, name and date fields on their own lines. When your organization is one of the parties, that block is yours, and you sign it in Bookmaker. Open the link the assistant gives you to review the document and its fields, then tell the assistant to send it. Signers get a private link by email, exactly as when you send a document for signature yourself.

The assistant can also list your signature requests, tell you who still has to sign, send reminders, and void a request you no longer want signed. Documents written by an assistant are recorded as AI-drafted, on the request and its certificate.

Schedule, repeat and remind#

Where your workspace has recurring invoices, scheduled sends and payment reminders, the assistant can set them up for you:

  • Send later. "Email INV-3198 on Monday at 9am" schedules the email in your workspace's time zone, unless you name another. Ask again to move it, or to cancel it.
  • Recurring invoices. Point the assistant at an invoice (or have it draft one) and say how often: "every month from 1 November until June". Each invoice is created as a draft for you to check unless you ask for them to be issued and emailed automatically. You can also ask it to change the schedule, skip the next one, pause, resume or stop.
  • Payment reminders. Ask to see your reminder schedule, change when reminders go and what they say, or turn them on. For one invoice you can turn reminders off or hold them until a promised date; for one customer, turn them off or send them to an accounts address.

The assistant asks before anything that will email a customer later, and the Scheduled page shows everything it set up.

Design templates#

Describe the look you want, "a teal invoice with a banded header, no unit column, and our standard 14-day terms", and the assistant designs a template for that document type. It uses the same colours, fonts, header and table styles, and blocks as the template editor, and never puts a customer or an amount into a template. Open the link it gives you to review the template in the editor. Ask it to make the template the default if new documents of that type should start from it; that applies to everyone in your workspace.

Only owners and admins can design templates, as in Templates.

Shortcuts in your AI app#

Bookmaker also gives your AI app ready-made prompts and resources. Where your app shows them, usually in a menu or by typing /:

  • Prompts start a guided task: Chase overdue invoices, Month-end review, Draft an invoice or quotation, Prepare an agreement for signature, Design a document template and Record a customer payment. Each one tells the assistant which steps to take and where to stop and ask you first. You only see the ones your access allows.
  • Resources let you attach Bookmaker information to a conversation without asking for it: your workspace, your receivables summary, a document, a customer or a signature request.

Your role still applies#

A connected app can never do more than you can. If you are a Viewer, the assistant can read but not change anything, whatever you approved. If your role changes, the assistant's access changes on its very next request, and if you leave the workspace it stops working there at once. See Roles and permissions.

See and disconnect your apps#

Settings › Connected apps lists the apps you have connected to this workspace, what each may do, and when it was last used. Other members' apps aren't shown: each connection belongs to the person who approved it.

Each connection shows what it may do and when it was last used.

Choose Disconnect beside an app to stop it working in this workspace immediately. You can connect it again later from the app.

Bookmaker also disconnects your apps when you reset your password, and disconnects an app by itself if it detects that the app's sign-in has been copied and used elsewhere.
