Bookmaker

What your customer sees

The page behind a document link: downloading, printing, accepting a quotation and signing, without an account.

When you send a document, your customer receives a link to their own copy. They do not need a Bookmaker account to open it. This page describes what they see and what they can do there, so you can answer their questions and know what Bookmaker records.

The link is created the first time you send the document, and later sends reuse the same link, so a reminder points to the same page as the original email. The link opens that one document only. If the document is discarded, or your organization is suspended, the link stops working and shows a page-not-found message that reveals nothing about the document.

What your customer sees#

The page shows who the document is from and the document itself, exactly as it prints, with your letterhead, brand and signature. Two buttons sit above it:

  • Download PDF saves the same PDF you attach to emails. A link can be downloaded eight times a minute, which is plenty for a person and stops automated abuse.
  • Print opens their browser's print dialog, where they can also choose Save as PDF.

Viewed#

The first time the customer opens the page, the document's status moves to Viewed and the time is recorded. Security scanners that check links in emails do not count as a view. The status only moves forward, so a paid invoice or an accepted quotation stays as it is.

Accepting or declining a quotation#

For a quotation or an estimate, the page asks "Would you like to go ahead with this quotation?" with Accept and Decline. Your customer confirms their choice, and:

  • the quotation moves to Accepted or Rejected;
  • your organization's email address receives a notification;
  • the customer sees a thank-you confirmation.

The customer answers for the whole quotation. When a customer accepts only some lines, record that yourself in the app; see Record a response and convert a quotation.

Signing#

The page also offers Sign this document. Your customer enters their name and an optional title, draws or types their signature, agrees to the statement shown and chooses Sign. The signature is added to the document with their name and the date, and you receive an email. Sign documents covers signatures from your side.
