The document editor
The sheet, the panel and its blocks, how autosave works, and what each save indicator means.
Every document is built in one editor. The sheet in the middle is the document exactly as your customer will see it, and the panel beside it holds its blocks and settings. Your work saves itself as you go.
The panel#
The panel has three tabs:
- Content: the document's details, such as the customer, dates, taxes, terms and payment instructions.
- Style: how the document looks, including the typeface, accent color, table style and header.
- Formula: calculated columns for the items table. See Formulas in the items table.
Blocks#
A document is made of blocks, each of which you can switch off or move:
| Block | Holds |
|---|---|
| Company Name and Company Address | Your letterhead, from Settings › Organization. |
| Customer | Who the document is for, filled from the customer record. |
| Document Meta | The number, issue date and due date. |
| Subject / Description | A line saying what the document is about. |
| Items Table | The lines, with quantities, units, prices, discounts and taxes. |
| Totals | Subtotal, discount, taxes and the total. |
| Payment Instructions | How to pay you. |
| Terms & Conditions | Your terms, typed or picked from saved terms. |
| Signature | A signature from your library. |
| Item Received By | Name, signature and date lines for whoever receives goods. |
Custom Field adds your own labelled field, such as a project code or a delivery window.
Saving#
The editor saves automatically about a second after you stop typing, and ⌘ S (or Ctrl S) saves at once. A new document is not stored until its first save, so an editor you open and close without typing leaves nothing behind.
The indicator at the top shows where things stand:
| Indicator | Meaning |
|---|---|
| Saving… | A save is in progress. |
| All changes saved | Everything is stored. |
| Unsaved changes | A save is coming. |
| Offline — changes pending | Your connection dropped. Keep working; changes save when you are back online. |
| Save failed | The save did not go through. Choose Retry. |
| Someone else saved this document | A colleague changed the document while you had it open. Choose Reload to see their version before carrying on. |
Drafts show Save Draft and Save & Issue. Once a document is issued, the button is Save. Create an invoice covers issuing.
Preview and paper size#
Preview shows the document without editing controls, at Desktop, Tablet or Mobile width, the way your customer sees it on their link. For documents with sheet features or the full grid design, A4 or Letter changes the saved paper size used for downloads. For classic layouts the paper selector changes the preview. Zoom to 75%, 100% or 125% while you work.
Save as a template#
When a document is set up the way you want every document of its type to look, open the More menu and choose Save as template…. A template keeps the column layout, styling, which blocks are switched off, payment instructions and terms. It never keeps the customer or the lines.
Sheet features and design#
Letterhead#
Style → Letterhead sets how the top of the document looks. Header style chooses the overall arrangement. Logo position places your logo Logo left of the company name, Logo right of it (the name comes first), or Logo above it; each choice is drawn the way your letterhead lines up, so you can see the result before you pick. Show logo hides or shows the logo. The same logo controls appear under Content when you select the company block. Logo position is saved with the document and with a template saved from it, and the PDF and the customer's link show the same letterhead. In the full grid design the logo has its own region, so you move it under Region placement instead.
Sheet features#
Open Style → Sheet features to switch on one feature at a time for the current document. They are listed by where they land: Items and totals (Grid lines, S/N column, Table title, Blank rows, Boxed totals) and Page (Side band, Reference strip, Contact note, Thank-you band, Page numbers). Each row has a small drawing of the page that shows where the feature appears, and a switch that shows whether it is on; the heading counts how many are on. Each one changes only its own part of the sheet; your header style and block order stay as they are, and the template is not changed. Switching off the last one returns the document to the plain sheet.
A table title is typed straight on the sheet: click it above the items and edit it there. Emptying it does not remove it; switch Table title off for that. With Page numbers on, the sheet shows "Page 1 of 1" in its bottom margin, where the PDF prints it. A longer document shows a dashed line where each page is expected to end; that count is marked "≈", because the final page breaks are made when the PDF is printed.
Text colour#
Select a block and open Typography under Content. Colour offers the sheet's own colours (Ink, Muted and Accent, which follows the document's accent colour), eight ready-made colours that are all easy to read on white paper, and + for any other colour. A colour you pick yourself shows its code and how well it reads on white; one that is hard to read says so, and you can still keep it. Reset returns the text to the sheet's own colour. The items table can be coloured as a whole, or its title, reference strip, header row and body rows one at a time, and the totals by their labels and amounts. The PDF and the customer's link use the same colours.
To rearrange the whole sheet like the classic grid quotation instead, choose Classic grid quotation from Templates, or select Use full grid design under Sheet features. The full grid adds a full editable grid, separate title and logo positions, reference fields, a side band and boxed totals.
Once a document has features or the full grid, Sheet design shows the detailed controls below. Region placement and title size apply to the full grid only.
- Page selects A4 or US Letter, margins in millimetres, and the side band. The printable-area size updates as you change margins.
- Header and references controls title size, logo width and up to six reference fields. Custom text belongs to this document; linked fields use the purchase order, document reference, issue date or company tax ID. Edit those values in document details or company settings.
- Region placement moves rows with arrow buttons or drag handles. Each row has twelve width units; reduce a cell's width to make room for another region. Place … in moves a cell to an available row or a new row. Group … with stacks related content, such as company name and address; Ungroup separates it again. Items always use a full row.
- Table selects grid lines, line width and colour, header colours, row spacing, blank ruled rows and serial numbering. Move columns with arrow buttons or drag handles; their values stay attached to the correct fields. Width weights share the table, with at least 25% reserved for Description and 6% for S/N. Column names that do not fit their column wrap onto a second line, as they print. Rename or hide columns in Content → Items.
- Totals can box the totals and align them to the Amount column. Notes appear beside them when enough space is available. Use the existing charges and tax controls to calculate amounts.
- Footer sets the closing message, colour band, alignment and page numbers.
Undo and redo include design edits. Preview reset to classic sheet temporarily shows the classic layout; choose Cancel reset to return, or Keep classic sheet to confirm. Reset retains document reference values and hidden sections. Removing a reference field removes its value from the document; undo restores it.
Saving a template keeps reference definitions and placement, but never this document's entered reference values. Changes to a populated reference label or value invalidate new signatures; visual design changes keep signatures valid.
