Deliver goods
Delivery notes, waybills and packing lists: create one from an invoice, track it and capture proof of delivery.
Delivery notes, waybills and packing lists travel with the goods. They list what was shipped without prices, and track the goods from dispatch to delivery, with the recipient's signature to prove it arrived.
Which document to use#
| Document | Use it to |
|---|---|
| Delivery note | Accompany goods to the customer and record what they received. Usually created from an invoice. |
| Waybill | Hand goods to a carrier and track them in transit. |
| Packing list | Describe what is in each package, for the carrier and customs. |
None of them carry prices, totals or payment instructions, and none are sent by email: they are printed or shared as PDFs and go with the goods.
Create a delivery note from an invoice#
- Open an invoice that is issued, sent, viewed, partially paid, paid or overdue.
- Choose Create Delivery Note.
- Check the draft that opens, then issue it.
The delivery note copies the invoice's customer, subject and lines, and leaves out prices, discounts, taxes and totals. Its date is labelled Delivery Date, it has no due date, its reference is the invoice number, and the Item Received By block is switched on. Both documents link to each other in their Related documents card.
You can also start a delivery note, waybill or packing list from scratch with Create in the top bar.
Track the goods#
Each delivery document moves through its own statuses. Choose the next one on the document's page, or change many at once from the Documents list.
| Status | Meaning |
|---|---|
| Draft | Being prepared. |
| Dispatched | The goods have left. |
| In Transit | The goods are on their way. |
| Partially Delivered | Some of the goods arrived. Delivery notes and packing lists only. |
| Delivered | Everything arrived. |
| Cancelled | The delivery is not going ahead. |
Document lifecycle and statuses shows every allowed move.
Proof of delivery#
The Item Received By block prints spaces for the recipient's Name, Signature and Date. Print two copies: the recipient signs both, keeps one, and your driver brings the other back. When it returns, mark the document Delivered.
