Manage products
Build a catalogue of goods and services so lines are picked with their unit and price already filled in.
Products are the goods, services and charges you sell. Keeping them in Products & Services means a line on a document is picked from a list with its unit and price already filled in, instead of typed each time.
Before you start#
Creating, editing, archiving and importing products needs the products permission. Owners, admins and sales have it. Roles and permissions lists every role.
Add a product#
- Open Products and choose Add Product.
- Enter the Name. It is the only required field.
- Choose the Type: Product, Service, Fee or Expense.
- Fill in the rest as needed, then choose Create Product.
| Field | What it does |
|---|---|
| SKU | Your stock-keeping code. It must be unique within your organization. Leave it blank and Bookmaker assigns the next one: PRD-0001, PRD-0002 and so on. |
| Unit | How the item is counted, such as box, hour or kg. Defaults to unit. |
| Default price | The price a new line starts with. Leave it blank for items you price per document; a blank price is unpriced, not free. |
| Currency | The currency the default price is in. |
| Description | Extra detail about the item, up to 1,000 characters. |
Use a product on a document#
In the editor's items table, start typing in a line's description. After two characters Bookmaker suggests up to eight products whose name or SKU matches. Picking one fills the line:
- the description becomes the product's name;
- the unit and unit price come from the product;
- the quantity becomes 1 if the line had none.
Everything stays editable on the line, so a special price for one customer does not change the product.
Edit a product#
Choose Edit from the product's menu. The change applies to lines you add from now on. Lines already on documents keep the description, unit and price they were given.
Archive and restore#
Products are archived rather than deleted. Choose Archive from the product's menu and it leaves the list, search and the items-table suggestions, while documents that already use it are unaffected. Choose Restore on an archived product to offer it again.
Import your catalogue#
Import CSV adds up to 1,000 products from a spreadsheet, and Export CSV downloads your catalogue. See Import and export with CSV.
