Invite your team

Invite colleagues with a role, manage pending invitations and change what each member can do.

Bring colleagues into your organization so they can work on documents with you. Team members are free, and each one gets a role that decides what they can change.

Before you start#

Inviting members and changing roles needs the members permission, which owners and admins have. Roles and permissions explains what each role can do.

Invite a member#

  1. Open Settings › Team and choose Invite member.
  2. Enter their Email and choose a Role. The role starts as Viewer.
  3. Choose Send invitation.
An email address and a role are all an invitation needs.

Bookmaker emails them an invitation to join your organization, and shows you the link with a Copy button in case you would rather send it yourself. The link works once and expires after 7 days.

Only an owner can invite someone as an owner; admins can invite every other role.

What your colleague sees#

What happens when they open the link depends on whether they already use Bookmaker:

  • New to Bookmaker: they choose a name and a password of at least 12 characters, then Accept invitation. They are signed straight in.
  • Already have an account, signed out: they are asked to sign in, then open the link again.
  • Already signed in: they choose Join and switch into your organization. One account can belong to several organizations; see Work with several organizations.

Pending invitations#

Invitations not yet accepted are listed on Settings › Team with their email, role and expiry date. To cancel one, choose Revoke. To resend an invitation, revoke it and invite the same address again. A link that has expired, been used or been revoked shows "This invitation link is no longer valid."

Change a member's role#

On Settings › Team, choose the member's role and pick a new one, then confirm. The change takes effect on their next page load.

  • Only an owner can promote someone to owner or change an owner's role.
  • The last owner cannot be demoted, so the organization always has an owner. Make someone else an owner first.
  • Changing your own role is allowed, but you may not be able to change it back yourself.
