Import and export with CSV
Bring customers, addresses and products in from a spreadsheet, and export them again.
Moving from a spreadsheet or another invoicing tool? Import your customers, their addresses and your products from CSV files instead of entering them one by one. Every import checks the whole file first and saves nothing if any row has a problem, so a half-finished import can never leave duplicates behind.
Before you start#
- Importing customers and addresses needs the customers permission, and importing products needs the products permission. Owners, admins and sales have both.
- Each file can be up to 1 MB.
- Save the file as CSV with a header row. Spreadsheet apps offer this under Save as or Download, usually as "CSV UTF-8".
Import customers#
- Open Customers and choose Import CSV.
- Choose Download template to get
customers-template.csv, and fill it in. - Choose the file and select Import.
The template has these columns. Only name is required.
| Column | Notes |
|---|---|
name | Required. |
company name | |
email | Must be a valid address. The same email cannot appear on two rows of one file. |
phone | |
address | Saved as the customer's billing address. |
tax number | |
currency | A currency code such as NGN or USD. Blank uses your organization's base currency. |
payment terms days | A whole number from 0 to 730. |
payment terms unit | calendar or working. |
notes | Internal notes, never printed on documents. |
A file can hold up to 1,000 customers. Common column names used by other invoicing tools are recognised, and columns Bookmaker does not use are ignored, so an export from another system often imports as it is. Starting from the template is the safest way to be sure.
Import a customer's addresses#
For a customer with many delivery sites, open the customer's page, choose Import CSV on the Addresses card and use addresses-template.csv. It has two required columns: label and lines. A customer can hold 200 addresses in total, so a file cannot add more than the customer has room for.
Import products#
- Open Products and choose Import CSV.
- Choose Download template to get
products-template.csv, and fill it in. - Choose the file and select Import.
| Column | Notes |
|---|---|
name | Required. |
unit | Required, such as box or hour. |
price | Optional. Leave blank for items you price per document. |
Up to 1,000 products per file. Imported products are of type Product, priced in your organization's base currency, and each receives the next automatic SKU. Change the type, SKU or currency afterwards with Edit.
When an import fails#
If any row has a problem, nothing is saved and every problem is listed with its row number. Fix those rows in your spreadsheet and import the whole file again.
Export#
Export CSV on the Customers page downloads your active customers as customers-YYYY-MM-DD.csv. On the Products page it downloads your catalogue as products-YYYY-MM-DD.csv. Use exports as a backup, or to work on your records in a spreadsheet.
