Run and export reports

Choose a period, compare it with another, arrange the columns, save the view, and export exactly what is on screen to Excel, CSV or PDF.

Reports answer what you invoiced, what you were paid, what you wrote off and what is still collectible, for any period, with a comparison against another period and an export of exactly what is on screen.

The Reports page#

Reports opens on this month. For each currency you invoice in, it shows five figures:

FigureWhat it counts
InvoicedInvoice totals including tax, for invoices issued in the period.
Sales excl. taxThose totals minus tax.
Payments receivedPayments dated in the period, from the payment records.
Written off (net)Write-offs minus reversals that took effect in the period. Not money received.
Outstanding nowWhat the invoices issued in the period can still collect today.

Each figure links to the report that breaks it down. Each currency has its own figures; Bookmaker does not convert or add currencies together.

Choose a period#

Use Period and choose Apply:

  • This month, This quarter and This year run from the first day of that period to today.
  • Last month is the whole previous calendar month.
  • All time has no dates.
  • Custom dates takes a start and an end date. Both days are included.

The page always shows the actual dates, and says when a period is still in progress. "Today" is today in your organization's time zone, set in Settings › Organization.

Compare periods#

Use Compare periods:

ChoiceCompares with
Previous periodThe same number of days immediately before. 1–13 October compares with 18–30 September.
Same period last yearThe same dates a year earlier. 29 February compares with 28 February, and the page says the lengths differ.
Custom datesThe dates you choose. The page says if the two periods differ in length.

Both periods use the same definitions, filters and currencies. Each compared figure shows the comparison period's figure, the change, and the change as a percentage. Where the comparison period was zero the change reads New rather than a percentage, and N/A where it was negative.

All time cannot be compared, because it has no earlier period.

Filter, sort and drill down#

  • Filter by Currency, Salesperson or, on Invoices, Status. Active filters are listed above the table; remove one, or choose Clear filters.
  • Select a column heading to sort by it; select it again to reverse the order.
  • Each summary row links to the transactions behind it: a customer or salesperson to their Invoices, an item to its Invoice lines. Invoice numbers open the invoice.

Everything you choose is in the page's address, so a report can be bookmarked or shared with a colleague in your organization.

Customize columns#

Customize columns shows, hides and reorders a report's columns. Tick the ones to show and use the arrows to move them. The columns that say what a row is, and its currency, are always shown. Reset to default restores the report's own columns.

Saved views#

Saved views keeps your arrangement of a report: its period, comparison, filters, sort and columns. Name it and choose Save view; saving under an existing name replaces it. Views are yours alone, in this organization, and keep the settings rather than the figures: a view of "this month" shows the current month whenever you open it. You can keep 20 views of each report.

Export#

Export offers two scopes, each as Excel (XLSX), CSV or PDF:

  • Export filtered report is every row the period and filters match.
  • Export current view is the page on screen.

Every export has the columns, order, sort, filters and currency grouping on screen, and states the organization, report, period, date basis, comparison, filters, currencies and when it was generated.

FormatGood forDetails
XLSXWorking with the figuresAmounts are numbers, dates are dates. The header row is frozen with filter buttons. A second sheet, About, holds the report's details and definitions.
CSVOther systemsAmounts are plain decimals with no separators, dates are YYYY-MM-DD.
PDFReading and filingPage numbers, the header repeated on each page, long text wrapped. A report too wide for the page prints its columns in parts, each repeating the columns that identify the row.

Who is credited with a sale#

Sales by salesperson uses the salesperson assigned on each invoice, never who created the document. Assign one in the editor, under References, while the invoice is a draft; a quotation's salesperson carries to the invoice it becomes, and a recurring invoice keeps its profile's. Invoices with nobody assigned, including every invoice from before salespeople could be assigned, are under Unassigned.

To change the salesperson on an issued invoice, an owner or admin chooses Change beside Salesperson on the invoice's page. The change is recorded in the activity log. Someone who has left the organization keeps their name on the sales they made.
