Bookmaker

Billing and plans

Free, Pro and Business, usage limits, changing or cancelling a plan, AI Calling plans, and Nigeria status.

Bookmaker has three plans: Free, Pro and Business. Every plan lets you issue and send as many invoices and quotations as you need. Paid plans add automation, higher limits and tools for larger teams. You manage your plan on Settings › Billing.

Plans at a glance#

Every plan, Free included, gives you:

  • unlimited invoices, quotations and all 13 document types,
  • sending documents to customers, with no limit on how many,
  • unlimited customers, products, drafts and team members,
  • payments, write-offs, credit notes, the customer link, and PDF and ZIP export,
  • reports on screen and CSV export,
  • your logo, colours and watermark,
  • no credit card to sign up, and no trial clock.

The plans differ in these:

Each paid plan is billed monthly or yearly. Yearly gives you two months free. For prices, see the pricing page.

AI Calling is a separate add-on with its own plans. Where it is available, it works with any plan, Free included. See AI Calling.

Who can manage billing#

Owners and admins. They see Billing under Settings, and they can choose, change or cancel the plan, update the card and read the invoices. Other roles do not see the page. If they open it, it says "Only owners and admins can see billing."

Billing cannot be changed from a support session or by a connected AI app. The same owners and admins manage AI Calling billing, on Calling › Billing.

Choose a paid plan#

  1. Open Settings › Billing. Change plan shows Pro and Business side by side, with what each adds to the plan below it. Compare every feature opens the full table on the pricing page.
  2. Pick Monthly or Yearly at the top of the card. The prices and buttons follow your choice, and a yearly price says how much it saves.
  3. Choose the plan you want, for example Choose Pro monthly. Stripe's checkout page opens.
  4. Enter your card on Stripe's page and accept the terms of service. Stripe adds any sales tax or VAT that applies. If you have a promotion code, enter it there.
  5. Pay. You return to Settings › Billing, which says "Thanks. Your plan updates here as soon as Stripe confirms the payment."

Paid features start once Stripe confirms the payment. Your card details go to Stripe and are never typed into Bookmaker.

If you leave Stripe's page without paying, nothing is charged. The page says "Checkout was cancelled. Nothing was charged."

You can also start from the pricing page. Choosing a plan there opens Settings › Billing with that plan highlighted and the same billing period selected.

Once the workspace has a paid plan, you change it in place instead. See the next section.

Change plan#

On a paid plan, Change plan on Settings › Billing opens on your billing period and marks your plan Current plan. Switch between Monthly and Yearly to see the other options. Each button says what it does.

ChangeChooseWhat happens
Upgrade: Pro to BusinessUpgrade to, for example Upgrade to Business monthlyStripe charges you at once for the rest of this period, less the unused part of your current plan. The new plan starts as soon as that payment goes through.
Upgrade: monthly to yearlyUpgrade to, for example Upgrade to Pro yearlyStripe charges a full year at once, less the unused part of this month. Your new yearly period starts today. The new plan starts as soon as that payment goes through.
Downgrade: Business to Pro, or yearly to monthlySwitch to … at period end, for example Switch to Pro monthly at period endIt is scheduled for the end of the period you paid for. You keep your current plan until then. The option shows the date it starts.

If your bank needs to confirm the upgrade payment, Stripe's invoice page opens. Confirm the payment there. Your plan changes once it is paid.

Change the plan or the billing period one at a time. For example, to move from Pro yearly to Business monthly, upgrade to Business yearly first, then switch to Business monthly.

Undo a scheduled downgrade#

After you schedule a downgrade, the plan card says when it happens, for example "Changes to Pro monthly on Mar 1, 2027". To keep your current plan, choose Undo scheduled change.

While a downgrade is scheduled:

  • the other options say "Undo the scheduled change first",
  • Cancel plan is replaced by "To cancel, undo the scheduled change first."

When a plan cannot be changed#

  • A payment is due. The options say "Settle the payment first". See Failed payments.
  • The plan is set to end. After you cancel, the options say "Available after the plan ends". Once it has ended, you can choose a plan again.

Request a custom plan#

If the fixed plans do not fit, you can ask for something else. This is offered on some Bookmaker installations. If you do not see Request a custom plan, yours does not offer it. Businesses in Nigeria already have every Bookmaker feature, so they see no request on Settings › Billing, unless one was already open when the workspace moved to Nigeria. That one stays there with Withdraw request.

  1. Open Settings › Billing and find Need something the plans don't cover? at the bottom of Change plan.
  2. Choose Request a custom plan.
  3. Tick anything you need more of, and say what you use Bookmaker for and how much you expect to need.
  4. Choose Send request.

We review every request and reply by email, to the address on your own account. A request records what you asked for. Nothing changes and nothing is charged until you agree.

While a request is open, the same place shows Requested or In discussion, who sent it and when. A workspace can have one open Bookmaker request at a time. To take it back, choose Withdraw request. You can ask again afterwards.

For AI Calling, the same request is on Calling › Billing, where it asks for the AI minutes a month and the calls at a time you need. The largest plan's numbers are shown beside each field. AI Calling requests are open to every region, and are separate from Bookmaker requests.

Owners and admins can send or withdraw a request. It cannot be done from a support session or by a connected AI app.

Cancel, card and invoices#

The card and cancelling are handled on Stripe's pages. You return to Settings › Billing when you are done.

  • Update card opens Stripe's page to change the card your plan is paid with.
  • Cancel plan opens Stripe's page to cancel. Your plan keeps running until the end of the period you paid for, and nothing is deleted. The plan card then says when it ends, for example "Ends Mar 1, 2027". There is no refund for the part of the period that is left.

When a cancelled plan ends, the workspace moves to Free, or to your founding period, if it is still running. See Moving to Free never deletes anything.

A plan that is set to end cannot be changed. If you change your mind before it ends, contact support to keep it, at [email protected] with Bookmaker in the subject line.

Invoices#

Bookmaker plan invoices lists your latest 24 invoices, with the Date, Number, Status and Amount of each. View opens the invoice on Stripe's page, where an open invoice can also be paid. PDF downloads it. Both open in a new tab.

An invoice is Paid, Open, Void or Uncollectible. Invoices still being prepared are not listed. Older invoices are in your email.

The price on the plan card is the list price. Your invoices show what Stripe charged, including any discount and tax.

AI Calling invoices are listed separately, on Calling › Billing.

Usage and limits#

Usage this period on Settings › Billing shows six meters: E-signature requests, E-signature file storage, AI assistant messages, AI template imports, Custom document templates and Signing templates. Each one gives the exact count, such as "12 of 30 used". A monthly limit also shows the day it resets. Months are calendar months in UTC.

  • At 80% of a limit, the meter says Almost used. For e-signature requests, e-signature file storage, AI assistant messages and AI template imports, owners and admins also get an email.
  • At 100%, the meter says Limit reached. Only the new action is refused, such as sending one more e-signature request. The message gives the limit, your count, when it resets and how to raise it. Everything else keeps working.

What counts#

  • E-signature requests. A request counts once, when it is sent, however many signers or reminders it has. Requests sent before paid plans were switched on do not count.
  • Free e-signature requests. The 30 on the Free plan are a one-time allowance. They do not reset.
  • Free plan counts across workspaces. On Free, e-signature requests, AI assistant messages and AI template imports are also added up for the person who created the workspace, across all the Free workspaces they created. Creating another workspace does not give you more. The meter then says "Counted across every workspace the owner has on the Free plan."
  • E-signature file storage. Every file kept for e-signatures counts: drafts, replaced documents, signer attachments, signed PDFs and signing-template files. Identical files count once. Signer attachments and signed PDFs are never refused, so a signing that has started always finishes.
  • Unsent e-signature drafts. When a draft has been left untouched for 30 days, its creator gets an email. The draft is deleted 7 days after that email unless someone opens or edits it.
  • Templates. The count is the templates you have now. Built-in templates never count.

Moving to Free never deletes anything#

A workspace moves to Free when a cancelled plan ends, when a payment stays unpaid, or when a founding period ends without a paid plan. Nothing is deleted. Features above Free stop, and they come back when you choose a plan again.

If your founding period is still running, the workspace goes back to it instead, and moves to Free when it ends.

  • Templates. Custom document templates and signing templates over the Free limit stay usable. You cannot add new ones until you are under it.
  • Recurring invoices, scheduled sends and payment reminders pause. Owners are emailed on the day. When the end date is known in advance, as with a cancelled plan, owners are also emailed 7 days and 1 day before. They resume when you choose Pro or Business. On Free they cannot be resumed.
  • Saved report views stay visible. XLSX and PDF export stop. CSV export keeps working.
  • Connected AI apps stop answering. The connections are kept, and they work again when you choose Business.
  • Semantic search stops. Its search index is kept for 90 days, then deleted.
  • E-signature files over the storage limit are kept. Only new uploads are refused.
  • Signing AI stops, and Bookmaker branding returns to the emails you send customers.

Failed payments#

If a renewal payment fails, Stripe tries the card again over the next 7 days. Your plan keeps working during those 7 days. Settings › Billing says "Payment due: update your card to keep your plan", and Update card becomes the main button.

If the payment is still unpaid after 7 days, the workspace moves to Free features, or to your founding period, if it is still running. The plan card then says, for example, "Payment due: your Pro plan is paused until the payment is made". Nothing is deleted. See Moving to Free never deletes anything.

To pay, update your card, or open the invoice with View in Bookmaker plan invoices and pay it on Stripe's page. Once the payment goes through, your plan comes back.

While a payment is due, the plan cannot be changed.

Founding period#

Every workspace that existed on the day paid plans launched gets a founding period of 6 months. During it, the workspace has Pro features and limits. It also keeps any Business feature it was already using at launch: connected AI apps, sending e-signature requests in bulk, or semantic search.

You do not need to do anything. While you have no paid plan, Settings › Billing shows when it ends, for example "Founding period: Pro features until <date>".

You can choose a paid plan at any time. It applies from then. The Business features you were already using stay until the founding period ends, whichever plan you choose.

When the founding period ends, the workspace moves to Free unless you have chosen a plan. See Moving to Free never deletes anything.

Businesses in Nigeria#

Bookmaker is free for businesses based in Nigeria: every feature, at no cost, with the Business plan's limits. There are no prices and no plan to buy. Settings › Billing says "Bookmaker is free for businesses in Nigeria: every feature, at no cost. AI Calling is a separate paid add-on." It also shows your usage meters.

Nigeria status belongs to the workspace. It does not depend on who is signed in.

How a workspace is confirmed#

  • At sign-up. When you create a workspace with Nigeria as its country, and you sign up from a connection in Nigeria, it is confirmed at once.
  • Otherwise, it is being confirmed. Settings › Billing says "We are confirming that this business is based in Nigeria." Until then you have the features of the Free plan, or of your founding period if you have one, and nothing is charged. You do not see prices.
  • Signing in from Nigeria confirms it. The sign-in must be by the person who created the workspace, or by an owner who has been a member for at least 7 days.
  • A second workspace. If you already own a workspace and create another one for Nigeria, the new one always starts as being confirmed.
  • Changing the country later. Changing a workspace's country to Nigeria starts the same check. This can happen at most once every 12 months.

If it cannot be confirmed#

If you cannot sign in from Nigeria, choose Request a review on Settings › Billing. It then says "Review requested. We will email the owners when it is decided."

If a workspace is not confirmed after 30 days, its owners are emailed. If nothing changes in the 14 days after that email, Nigeria status ends. The workspace keeps its founding period or paid plan if it has one. Otherwise it moves to the Free plan. Nothing is deleted, and it never moves to a paid plan by itself. While a review you requested is open, neither the email nor this move happens.

A paid plan you already have#

While Nigeria status is being confirmed, a paid plan you already have continues and is billed as usual. Once the workspace is confirmed, that plan is cancelled at once and the unused part of the period is refunded.

Reviews#

Nigeria status is for businesses based in Nigeria, and it can be reviewed. If it is withdrawn, owners get 30 days' notice, and Settings › Billing shows the date it ends. If your business is based in Nigeria, choose Request a review there.

AI Calling is not included. It is a separate paid add-on. See AI Calling.

AI Calling#

AI Calling is billed separately from your Bookmaker plan, on Calling › Billing. Owners and admins manage it there.

Ask for AI Calling#

This is offered on some Bookmaker installations. If you are an owner or admin and do not see Calling in the menu, yours does not offer it. AI Calling works with US numbers and American English only. If your workspace does not have it yet, owners and admins see Calling in the menu, and Calling › Billing shows every plan with its price and how calling is charged.

  1. Choose Request on a plan, for example Request Starter. If the plans do not fit, choose Request a custom plan instead.
  2. We set up AI Calling with your workspace and email you at your account address.
  3. Open Calling › Billing and choose your plan. Nothing is charged until you pay for a plan yourself. After you pay, create your agent on Calling › Agents, and we connect it to your US number.

While a request is open, the plans stay on the page without buttons, and Withdraw request cancels it. A workspace has one open AI Calling request at a time.

Upgrade a calling plan#

  1. Open Calling › Billing. Under Change plan, choose Upgrade to, for example Upgrade to Growth.
  2. Bookmaker asks Stripe for the exact price and shows it: the Upgrade price (with the tax it Includes, if any), any Account credit used, what is Charged today, and the new plan's monthly price from your next renewal. The upgrade takes effect now.
  3. Choose Confirm and pay with the amount shown, or Confirm upgrade when nothing is due today. To stop, choose Keep with your current plan's name.

AI time and extras you have already used this period are still billed at renewal.

The upgrade needs a card that can be charged without a check by your bank. If your bank needs to confirm payments on the card, the upgrade is refused and your plan does not change. Choose Update card, confirm the card, then upgrade again. The same applies if the card is declined.

If you wait too long, the price expires. Review the new price and confirm again.

Downgrade a calling plan#

Choose Switch to … at renewal, for example Switch to Starter at renewal. The change happens when your plan renews, and the plan card says when. To keep your current plan, choose Undo — keep with your current plan's name.

While a downgrade is scheduled, the upgrade options say "Undo the scheduled change, then upgrade.", and Cancel plan is replaced by "To cancel, first undo the scheduled change."

When calling plan changes are not offered#

  • "Pay the open invoice first, then change your plan." A payment is due.
  • "Your plan is renewing. Try again in a few minutes." Your plan is renewing right now.
  • "Plan changes reopen on" a date. Your plan renews within the hour. Try again after it renews.
  • "Plan changes are not available right now. Contact support to change your plan." In-app plan changes are not available on your Bookmaker.
  • "Your plan cannot be changed here. Contact support." Support has to change this plan.

Custom plan offers#

This is offered on some Bookmaker installations. When we agree a plan for your workspace, usually after a custom plan request, owners and admins get an email and Calling › Billing shows Custom plan offer: the monthly price, the AI minutes, the calls at a time and the day the offer ends. Nothing changes and nothing is charged until you accept. Overage and extras stay at the same rates, and every feature is in every plan.

What you can do depends on your calling plan:

Your calling planChooseWhat happens
No plan, or one that has endedAccept and go to checkoutStripe's checkout page opens. The plan starts once Stripe confirms the payment.
The offer has more minutes, at the same fee or higherReview upgradeThe same steps as an upgrade: Stripe's exact price, then Confirm and pay.
The offer has the same or fewer minutesSwitch to this plan at renewalThe change happens when your plan renews, even if the price is higher. To stay on your plan, choose Undo — keep with your plan's name.

If you do not want the offer, choose Decline offer. If you have scheduled a change to this offer, undo it first. To get another offer, send a new request or contact us.

If a payment is due, your plan is set to end or another change is in the way, the card says what to do first. If in-app plan changes are not available on your Bookmaker, it says "To accept this offer, contact support."

On a custom plan, Calling › Billing and Calling › Usage show your plan's own numbers. Change plan lists the other plans: one with more minutes than yours, at the same fee or higher, is an upgrade, and any other waits for renewal. A plan's price does not change while you are on it. A different price is a new offer, which you accept or decline.

Card, cancelling and invoices#

Update payment method and Cancel plan open Stripe's pages. AI Calling invoices lists your calling invoices, with View and PDF links, in the same way as Bookmaker plan invoices.
