Download, print and export

Get documents out of Bookmaker as PDF files, on paper, or in bulk. Every PDF comes from the same renderer, so the file you download matches the one attached to your emails and the one your customer downloads from their link.

Download a PDF#

On a document's page, choose Download PDF. The button shows Preparing… while the PDF is produced, which takes a few seconds, and the file is saved to your device. The same action is in each row's menu on the Documents list, and downloads without leaving the list.

Files are named after your organization, the document number and the customer, such as AcmeLtd_INV-1042_DangoteDistribution.pdf. A draft, which has no number yet, is named Draft.

Print#

Choose Print on a document's page to open your browser's print dialog. Only the document prints: the app's menus and panels are left out. In the row menu on the Documents list, Print opens the document and starts printing.

The print dialog is also the way to save a PDF if a download ever fails: choose Save as PDF as the printer.

Download many documents as one PDF#

On the Documents page, select up to 50 documents and choose Download PDF. You get a single PDF, such as Acme_Quotations_YYYY-MM-DD.pdf, with every document in it. Each document starts on a new page and keeps its own paper size and margins, exactly as when it is downloaded alone. The file opens with a bookmark for each document in your PDF viewer's sidebar, so you can jump straight to one.

The documents appear in the order the Documents list shows them, newest first. The file is named after the document type when every document is the same type, such as Quotations, and Documents otherwise.

To put all of today's quotations into one file:

1. Open the Quotations tab and choose Today in the date filter.
2. Tick the checkbox in the table header. If there are more on other pages, choose Select all N matching.
3. Choose Download PDF.

If a document cannot be produced, the PDF still downloads without it, and the bar names the documents that were left out so you can download them on their own.

Download many documents as a ZIP#

On the Documents page, select up to 50 documents and choose Download ZIP. You get Documents_YYYY-MM-DD.zip with one PDF per document, named the same way as single downloads. If a document cannot be produced, the ZIP still downloads, with an _errors.txt file listing what was left out.

Export customers and products#

Export CSV on the Customers and Products pages downloads your records as a spreadsheet. See Import and export with CSV.

Limits#

• Each person can download eight single PDFs a minute, and separately eight combined PDFs a minute. After that Bookmaker asks you to wait a minute.
• Downloads and exports are not available while Bookmaker support is working in your account.

Structured paper and pagination#

For a document with sheet features or the full grid design, select A4 or Letter in the editor, or use Style → Sheet design → Page. Set margins there before downloading. Single downloads, customer-link downloads, combined PDFs and ZIP exports use each document's saved paper and margins.

Tables continue across pages with repeated column headings. Long descriptions wrap; a row taller than a page can continue onto the next one. Side bands repeat on each page, while the closing band appears once at the end. Blank ruled rows are decoration and never change the document total.

Enable Footer → Show page numbers for Page X of Y in downloaded PDFs. Browser printing shows the current page number when the browser supports it. If it does not, the editor suggests downloading a PDF for consistent numbering. Browser print settings can override paper, scaling and margins; use the matching paper and normal scale.
