Set up your organization
Company details, payment instructions, numbering, taxes, terms and brand, in the order worth doing them.
A few minutes of setup makes every document right from the first one: your company details in the letterhead, your bank details in the payment block, your own number prefixes and your taxes. This page walks through the settings in the order worth doing them.
Before you start#
Changing organization settings needs an owner or admin role. Taxes can also be managed by accountants. Everyone else sees the settings pages read-only.
1. Company profile#
Open Settings › Organization. These details appear on every document you issue.
- Company Name is required. Everything else is optional.
- Registered Address, City, State and Postal code form the address block. Put one address part per line; the first line becomes the main address line.
- Phone and Email print in the letterhead.
- Country decides what your tax and registration numbers are called. A Nigerian business enters a Tax Identification Number and a Business Number; a UK business enters a VAT registration number and a Company number. Settings reference lists every country.
- Base currency is the currency new customers and documents start in.
Choose Save changes when you are done.
2. Payment instructions#
Still on Settings › Organization, Payment instructions holds how customers pay you: bank name, account name and number, and anything else they need. The empty field suggests the bank details used in your country, such as a sort code in the UK or an IBAN in the EU.
The text is copied onto every new invoice and other money documents, where you can still edit it for one document. Leave it blank and no payment block is printed.
3. Numbering#
Open Settings › Numbering to set each document type's Prefix and Next number, for example INV- starting at 1001 so your first invoice continues from your old system. Sequences only move forward, so the next number can never be set below one already used. Document numbering explains when numbers are assigned.
4. Taxes#
Open Settings › Taxes and add the taxes you charge, such as VAT, with their rate and whether prices include them. Taxes, currencies and rounding explains inclusive, exclusive and compound taxes.
5. Terms and conditions#
Open Settings › Terms and choose Add Terms for text you reuse, such as late-payment terms or a quotation's validity. Give it a Title and Content, choose which document type it Applies to, and tick Make this the default for the selected type to have it fill in on every new document of that type.
6. Logo, brand and default templates#
- Settings › Brand holds your logo, colors, watermark and signatures. Templates and brand covers them.
- Settings › Templates sets the template each document type opens with. A template picked from the library still overrides it.
7. Your team#
Invite colleagues from Settings › Team. See Invite your team.
The Get started checklist#
Until you have finished, the dashboard shows a Get started checklist that ticks itself off as you go: add your logo, add your first customer, add a product or service, create your first document, and send it to your customer. Each member only sees the steps their role can do. Dismiss it with ✕ at any time; it also disappears once everything is done.
