A quotation is not just an invoice that has not happened yet

Quotations get their own numbering sequence (QUO- by default), their own status lifecycle and their own template. They are valid for a period rather than due on a date, so the editor asks for validity instead of a due date, and the sheet says “Quotation” where an invoice would say “Invoice”.

Everything else is the editor you already know: the same items table, the same taxes, the same terms and the same branding.

How to create a quotation

Record what the customer actually said

Customers rarely answer a quote with a clean yes or no. BillFlow lets you record the response line by line: this item accepted, that one rejected, this one accepted at a smaller quantity. The quotation’s overall status — Accepted, Rejected, Partially Accepted or Expired — follows from the decision as a whole rather than being set by hand.

The quotation document itself is never rewritten by this. What you sent stays exactly what you sent, which matters the moment anybody disputes what was agreed.

Recording a response and converting

Convert the yes into an invoice

Once a response is recorded, the accepted lines convert into an invoice at the accepted quantities. The new invoice takes the next number in the invoice sequence and remembers which quotation it came from, so the trail from quote to bill stays intact without a spreadsheet holding it together.

The reports include quotation conversion — how many you sent, how many were accepted, and what that was worth — so “are we quoting too high” stops being a matter of opinion.

Is the quotation software free?
Yes, entirely. Unlimited quotations, conversion to invoices, your own branding and the conversion reports are all included, with no paid tier and no credit card.
What is the difference between a quotation and an estimate here?
Both are pre-sale documents with their own numbering sequences — QUO- and EST- by default. Use whichever word your customers expect; the behaviour is the same, and both convert into an invoice once accepted.
Can a customer accept only part of a quotation?
Yes. You record acceptance line by line, including a reduced quantity on a line, and only the accepted lines carry through to the invoice. The quotation moves to Partially Accepted.
Does the original quotation change when I convert it?
No. The quotation stays exactly as it was sent. The conversion creates a separate invoice that references it, so the record of what you quoted is never overwritten.
